An excellent way to proactively engage your constituents with letters and emails is by using Fireside CRM's Bulk Mailing tool. Easily set up a franked mass mailing or a 499 that will be delivered to constituents in the same format as a legislative mail response.
Before you can create a bulk mailing, you will need two things:
Once both items are ready, you can begin creating the batches for your bulk mailing!
Start by navigating to Mail Room>Bulk Mailings and click on the blue 'New Bulk Mailing' button at the top of the page.
First, give this mailing a name. Each batch created from the bulk mailing process will be given the same name as the mailing itself (Bulk Mailing Demo Batch 1, Bulk Mailing Demo Batch 2, Bulk Mailing Demo Batch 3) so make sure to be descriptive.
Find the approved form letter you want to use. Then you can decide what format you want this particular message to be sent as:
- Only Letters will apply only the printed version of the form letter to the mailing. It will exclude anyone from your audience without a mailing address.
- Only Emails will apply only the email version of the form letter to the audience. It will exclude anyone from your audience without an email address.
- Prefer Letters will send the letter version if the audience member has a physical address on record, otherwise the email version will be sent.
- Prefer Emails will send the email version if the audience member has an email address on record, otherwise the letter version will be sent.
Once you have decided on the proper format, you can also select which email template you want to be used (unless you have selected Only Letters).
Next, you will need to select the audience who should receive this mailing and choose how many people from that audience you want to send the mailing to. By default, the field is set to 499. You can, however, adjust that for larger or smaller mailings if you wish.
The bulk mailing process is all about creating batches, you'll need to determine how many pieces of mail you want the batches to contain. By default, the Batch Size will be set to 500. This means, if you have limited this mailing to 499 people, all of those messages will fit into a single batch. If you were to limit the mailing to 499 people but set the Batch Size to 50 instead, the mailing would create 10 batches. You can choose a value between 50 and 1000 for the Batch Size.
Select the Staffer who should be assigned all of the batches.
Tag this mailing with any relevant issues or legislation if you would like.
Click the "Save" button to start processing your mailing. This will not print or send any form letters to constituents - it will only create the batches.
The mail placed into batches will get sorted first on form medium, then by zip code, and then by last name.
