Batches help you keep mail organized, so it's natural that you will need to makes changes to your Batches from time to time. Fireside makes this easy by allowing you to reassign and delete Batches - both individually and as a group.
On the Mailroom > Batches page, batches now have checkboxes to the left of them. These let you select multiple batches to modify at the same time.
Modifying Batch Properties
To modify a single Batch:
- Go to the Mailroom > Batches page.
- Click on the gray space to the right of the batch name.
- Select "Edit batch details"
- Update the name and/or select a different staffer to own the Batch
- Click Update.
To modify multiple Batches:
- Select multiple Batches by clicking the checkboxes to the left of the Batch name.
- At the top of the page click Actions > Modify Selected
- Select the Batches you would like to modify by clicking the checkboxes on the left.
- Update the name and/or select a different staffer to own the Batches.
- Click Update.
Departing Staff
If a staffer leaves the office and you're looking to reassign all of their mail:
- Go to the Mailroom > Batches page.
- Use the filters on the right side of the page to narrow down the Batches shown to only Batches owned by the former staffer.
- Select all of the Batches owned by that staffer by clicking the checkbox at the top left (select all)
- Assign all of the Batches to a new staffer.
Delete Empty Batches
To delete a single empty Batch:
- Change the filters on the right side of the Batches page to include empty Batches.
- Sort the page by Mail Count to put the empty Batches at the top.
- Click on the gray space to the right of the Empty Batch's name.
- Select "Delete this batch"
- A popup window will appear to confirm, click "Delete."
To delete multiple empty Batches:
- Change the filters on the right side of the Batches page to include empty Batches.
- Sort the page by Mail Count to put the empty Batches at the top.
- Select the empty Batches you would like to delete by clicking the checkboxes on the left
- Select Actions > Delete Selected (Note: You can only delete empty Batches!)
- A popup window will appear to confirm, click "Delete."
Oldest Mail Date
On the right side of the Batches page, you will find the column "Oldest Date" which indicates the date of the oldest piece of mail in the Batch.
Click the column header ‘Oldest Mail’ to put the Batches with the oldest mail at the top, and then click it again to reverse the order. This will allow you to see which Batches have the oldest mail, so they can be processed and completed first!
